About the Role
This diverse and hands-on role involves coordinating daily operational functions across key business areas such as facilities, IT, events, administration, and office services. You'll play a crucial role in ensuring smooth internal operations, supporting both client-facing services and internal teams in a fast-paced, professional environment.

Location: Belfast City Centre (Office-Based)
Schedule: Monday to Friday | Full-Time | Permanent
Salary: £29,000 - £37,800 + Outstanding Benefits + Brilliant Working Culture


Key Responsibilities



Client Services & Events

  • Deliver a high-quality, professional service to members, guests, and internal stakeholders within the organisation's premises.

  • Manage event spaces, handling bookings, payments, and refunds, while working toward occupancy and revenue targets.

  • Ensure smooth daily operations across hospitality and meeting areas, adhering to internal protocols and service standards.



Facilities & IT Operations

  • Take a proactive role in maintaining the office's technical infrastructure, collaborating with the Head of Business Support.

  • Line manage the in-house IT support resource, providing oversight of technical queries and service delivery.

  • Support the delivery of IT and facilities action plans, assist with system improvement initiatives, and implement updated workflows.

  • Act as the first responder for IT issues, coordinating with external vendors when needed.

  • Support emergency procedures by acting as Fire Warden and First Aider, and provide assistance to facilities staff during incidents.

  • Liaise regularly with the building manager to ensure all maintenance and safety issues are addressed promptly.



Procurement & Office Contracts

  • Manage purchasing of day-to-day office essentials (stationery, consumables, printer materials) while ensuring cost-efficiency.

  • Administer internal telephone systems, onboarding/removing users and maintaining accurate contact directories.

  • Oversee maintenance and servicing of office equipment, including printers, binding machines, and card payment devices.

  • Manage external contracts for document storage and confidential waste disposal in accordance with procurement guidelines.



Office Management & Administration

  • Supervise the front-of-house team, ensuring adequate staff coverage and overseeing performance and attendance.

  • Develop and refine administrative processes and internal procedures in collaboration with senior leadership.

  • Train front-of-house staff on workflows and ensure consistent delivery of administrative services.

  • Oversee internal and external mail distribution, ensuring timely handling of communications.

  • Support regulatory compliance efforts including adherence to ISO 9001:2015 and data protection protocols.


Ideal Candidate Profile

  • Prior experience as an Office Manager or similar leadership role within a corporate or professional setting.

  • At least 2 years of experience in office coordination, administration, or business support.

  • Strong working knowledge of Microsoft Office and familiarity with AV/IT platforms.

  • Excellent organisational skills with the ability to manage competing priorities.

  • High level of discretion and professionalism, particularly in a regulatory or confidential environment.
