Investigations Administrator (Casework Officer)

About the role
We're partnering with a public-sector investigations office to appoint an Investigations Administrator to support the Further Investigation Team. Reporting to Investigations Team Managers, you'll provide accurate, confidential administrative support to help the team deliver investigations to agreed KPIs and service standards.
Key responsibilities
- Manage an investigations admin caseload, balancing competing priorities while maintaining confidentiality and service standards.
- Assist Investigating Officers (IOs) in obtaining independent professional advice (sourcing advisers and preparing electronic/hard-copy advice packs).
- Issue draft and final investigation reports to complainants, public bodies and third parties in line with the Procedural Manual.
- Close cases on the case-handling system and track compliance with recommendations, updating records and liaising with IOs.
- Collate and process large volumes of sensitive information (including medical data), scan/upload documents, and decipher poor-quality scans where necessary.
- Maintain accurate, contemporaneous records on the case management system and paper files; suggest process improvements.
- Format confidential reports/correspondence; produce internal reports, spreadsheets and data for managers.
- Provide PA-style support including accurate minute-taking; undertake proofreading for IOs/Managers/Director.
- Build effective relationships with the public, public bodies and colleagues; uphold data protection (GDPR) and confidentiality policies.
- Administer the file management structure for the team and contribute to cross-functional project work as required.
Essential criteria
- Proven experience in a busy, confidential administrative role supporting complex casework or professional services teams.
- Strong record-keeping skills with case handling/case management systems and MS Office (reports, spreadsheets, formatting).
- Experience handling sensitive data (incl. medical) with strict adherence to GDPR and confidentiality.
- Excellent written skills for report formatting and proofreading; high attention to detail and accuracy.
- Confident communicator able to liaise with members of the public and public bodies with professionalism and discretion.
- Strong organisational skills: able to juggle competing priorities and meet team KPIs/quality standards.
Desirable
- Minute-taking and PA-style support experience within an investigations, legal, regulatory or public-sector environment.
- Familiarity with procedural manuals, compliance tracking and closing cases on structured systems.
