Records Management Assistant

Location: Belfast City Centre
Contract: Initial 3-month project
Rate: £14.82 per hour
Working pattern: 37 hours per week

Overview

A public-sector organisation requires support with a structured review of its document and filing systems. This role focuses on organising, cataloguing, scanning and securely disposing of physical and digital records in line with internal retention rules.

Key Responsibilities

  • Organise and standardise digital and paper files to match existing filing structures and retention schedules.
  • Review records across multiple formats, ensuring they are filed correctly or prepared for secure disposal.
  • Scan incoming and archived documents to a high standard, ensuring clarity and accuracy.
  • Upload scanned records to the organisation's internal system, maintaining accurate references and version control.
  • Keep the filing system tidy, up to date and easy to navigate.
  • Maintain clear logs of work completed, including cross-referencing scanned items.
  • Handle all information with complete confidentiality and follow data-security procedures at all times.
  • Assist with one-off requests to locate or retrieve documents when required.

Candidate Requirements

  • At least one year's experience in an administrative role involving document handling or record keeping.
  • Proven ability to work with sensitive or confidential information.
  • Comfortable using internal filing systems, scanning equipment and general office software.
  • High level of accuracy, strong organisational skills and confidence working independently.
  • Ability to follow set procedures and produce clear notes or documentation.
