The successful Onboarding Specialist will report to the HR Manager and work closely with Talent Acquisition, IT, and other HR functions to ensure a seamless onboarding experience for new hires.

This is a temporary role initially lasting 6 months, with the possibility of extension based on business needs and performance.

About you:

  • Minimum of 3 years' experience in onboarding, HR coordination, or talent operations
  • Excellent organisational and communication skills with a candidate-first approach
  • Strong stakeholder management abilities, building positive relationships with hiring managers and cross-functional teams
  • Familiarity with ATS and HRIS platforms, ideally HiBob and Vero
  • High attention to detail and a proactive, solutions-focused mindset
  • Discretion and professionalism when handling confidential information
  • Bachelor's degree or equivalent experience; CIPD qualification is advantageous

What you'll do:

  • Coordinate all pre‑hire onboarding activities across EMEA, APAC, and North America to ensure new hires are fully prepared for their start date
  • Partner with internal teams including IT, Payroll, and Facilities to facilitate system access, equipment, and logistical arrangements
  • Manage onboarding documentation such as background checks, tax forms, and compliance paperwork
  • Act as the primary contact for onboarding-related queries from new hires and internal stakeholders
  • Conduct engaging Day 1 onboarding sessions that create a positive first impression
  • Maintain accurate records within HR systems such as HiBob and vendor platforms
  • Support ongoing HR projects, process improvements, and audits related to onboarding
