Role: Office Manager - Temporary - Belfast
Job Overview
VANRATH are assisting our client, who are seeking to appoint an Office Manager on a temporary basis, with the potential for extension, based in Belfast. This role will be responsible for overseeing day-to-day office operations, managing financial tasks, handling client enquiries, and coordinating meetings, events, and IT systems.

Key Responsibilities:

  • Oversee the management of office facilities, ensuring all operations are efficient and compliant with health and safety standards.
  • Manage relationships with multiple service providers, ensuring high-quality services are consistently delivered.
  • Act as the primary point of contact for all office-related issues, including the operation and maintenance of office equipment (photocopiers, printers, telephony, video conferencing tools, and IT systems).
  • Maintain a proactive approach in managing office projects, prioritising tasks, and ensuring deadlines are met.
  • Handle confidential matters with discretion, demonstrating a professional, diplomatic approach to colleagues, clients, and external stakeholders.
  • Provide consistent and accurate communication across various platforms, including email, phone, Teams, and presentations.
  • Ensure the office complies with health and safety requirements, including fire safety protocols.
  • Troubleshoot office equipment issues, liaising with external IT and facilities teams for additional support when needed.

Essential Criteria:

  • Proven leadership and team management experience in a professional services environment.
  • Strong organisational skills, with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Experience in financial management, including budgeting and expense tracking.
  • Strong IT skills and the ability to implement new technologies.
  • Ability to use and maintain office equipment such as printers, photocopiers, and fax machines.
  • High level of confidentiality and discretion when handling sensitive information.
  • Knowledge of health and safety regulations in an office setting.
  • Commitment to personal and professional development.
