Job description

Vanrath is partnering with a respected supplier to the construction, surveying, and infrastructure industries to recruit an Office Administrator. This is a full-time, permanent position with excellent scope for responsibility and development within a supportive team.

Please note: Interviews are scheduled for Thursday 19th March, so availability on this date is required.


About the Role

We are looking for a reliable and organised administrator to be the backbone of our office operations. You will provide key support to both commercial and operational teams, ensuring smooth day-to-day running of the office.

This role suits someone who thrives in a busy environment, can manage competing priorities, and enjoys keeping processes on track while maintaining a high standard of accuracy.


Working Hours

  • Monday - Thursday: 08:30 - 17:00

  • Friday: 08:30 - 15:00 (early finish)

  • No weekend work


Key Responsibilities

  • Provide day-to-day administrative support to operational and commercial teams

  • Act as a point of contact for customers and suppliers, ensuring professional communication

  • Assist management with scheduling, planning, and follow-up tasks

  • Maintain accurate records in internal systems, spreadsheets, and files

  • Support operational processes, including documentation and basic cost tracking

  • Coordinate deliveries, collections, and other logistics with clear communication

  • Help organise diaries, meetings, and office activity

  • Monitor and chase outstanding tasks to ensure completion

  • Identify opportunities to improve office processes and efficiency

  • Work independently while managing multiple priorities effectively

  • Contribute to a positive and collaborative team culture


Candidate Requirements

Essential:

  • Proven experience in an administrative or office support role

  • Strong verbal and written communication skills, professional telephone manner

  • Highly organised with attention to detail

  • Ability to manage multiple tasks and deadlines confidently

  • Proactive, self-motivated, and solution-oriented

  • Proficient in Microsoft Office applications

  • Willingness to learn new systems and processes

Desirable:

  • Previous experience supporting operations, sales, or service teams

  • Exposure to logistics, scheduling, or coordination work

  • Background in construction, technical, or trade-related sectors

  • Familiarity with CRM, ERP, or other internal systems

  • Experience supporting senior management
