VANRATH are recruiting a Document Controller to work for a specialist Construction Contractor, based in Lisburn, Northern Ireland.

Client:
Our client is a leading specialist Contractor with an excellent reputation in the construction industry for exceeding their clients expectations, providing high level solutions. They have been operating for multiple decades and have gone from strength to strength over the years.

Business is busy with a large order book secured for the long term. Due to their continued growth they have a great opportunity for a Document Controller to join them on a permanent basis, working alongside a Senior DC.

Role Summary:
The Document Controller is a crucial member of the design team working on medium and large-scale projects. The DC will provide support to the Designers ensuring that the project Design information is up to date and any changes are highlighted to the Design Manager / Senior Designer for review. Ensure that all information released by the Design office is on programme and meets the project BIM protocols along with the Design office QA policies.

Key Tasks:

  • Creating and maintaining a complete and up-to-date repository of all document templates, folders, forms, trackers, and schedules such as the Drawing Register, Request for Information (RFI) register, Design Office Task List, Design Delay Notifications etc.
  • Gathering, processing, archiving outdated versions, and distributing hard and soft copies of project documentation and drawings to internal and external parties promptly and accurately
  • To make sure feedback is given back on time by following up on distributed information
  • Sorting, storing, maintaining, updating, and retrieving information within the Common Data Environments (CDE) of a project. Commonly used CDE platforms are Viewpoint 4 Projects, Oracle Aconex, Deltek PIM.
  • Independently seek training from the client on new CDE Software
  • Provide training and support to designers and outsource designers on CDE Software and the procedures of the project as and when required
  • QC/QA of documentation, drawings, and reports to ensure that Information Management System requirements and company standards are met
  • QA check the Fabrication Reports to support the Fabrication Process.
  • Developing and implementing company policies to improve efficiency within the department and ensure that the correct procedures are being followed by closely monitoring them
  • Reaching out and chasing external suppliers when gathering O&M Manual Information, which will then be organised and compiled into a comprehensive manual upon project completion
  • Create and generate KPI reports on the department's performance for the Technical Director
  • Ensuring that Department NCRs are closed out by following up with the individual designers


The Ideal Person:

  • Document Control experience or a strong administrative background within a construction business
  • Strong organisation and multi-tasking skills, with a flexible approach to tasks
  • Conscientious, a good eye for detail and works well under pressure
  • Demonstrated ability to work well in a team and as well as the ability to work using own initiative
  • Good interpersonal skills and ability to communicate at all levels
  • Understanding of document management systems
  • Knowledge of Microsoft Office software, especially Word, Excel and Outlook
  • Excellent Verbal and Written Communication Skills
