About your next employer
The post holder will be responsible for providing an administrative support service to Medical Device and Decontamination staff within the Estates Medical Technical Service. They will assist with the asset management of medical devices along with the day to day running of the Medical Devices and Decontamination departments to ensure they run efficiently delivering a high-quality service.

What you'll do

  • Support the process of asset tagging medical devices across the Trust.
  • Assist in managing departmental paperwork including timesheets, invoicing, engineer reports and customer reports
  • Update and maintain accurate engineering records for medical devices and decontamination equipment using the appropriate IT systems, applications and databases to ensure quality assurance and technical admin systems are always audit ready
  • Ensure all departmental logs are up to date and training requirements are notified communicating with the relevant staff as required.
  • Monitor medical device and decontamination contracts and handle issues of non-compliance with contractors in particular with relation to rates, collections, deliveries and returns ensuring a professional approach in all communications.
  • Support the management of the medical device asset management system ensuring records are kept up to date and aligned with Trust policies and guidelines
  • Maintain and archive technical documentation to improve departmental efficiencies and to facilitate continuous compliance
  • Effectively use a range of ICT systems such as the Microsoft Office Suite of applications and other relevant systems used in the management of medical devices and decontamination equipment.
  • Arrange and provide administrative support for meetings, including minute / action note taking, organising venues, issuing and follow up of relevant documentation.
  • Follow up of actions from contract review meetings relevant to the department.
  • Provide general administrative/secretarial support within the department e.g. word processing, spreadsheets, database use, photocopying, filing etc.
  • Organise and maintain relevant manual and electronic diary/schedule and arrange appointments and meetings.
  • Establish and maintain filing systems to meet the administrative needs of the department
  • Maintain accurate records for the department re: Contracts / minutes / Provider Insurance etc.
  • Process and distribute all incoming mail and prepare outgoing mail as required.
  • Deal with incoming telephone calls and handle queries as appropriate and act as a reference point for all internal and external enquiries relating to the department, ensuring necessary communication is maintained with relevant senior department staff
  • Operate and manage a brought forward system for minutes / monthly contract monitoring and contracts



About you

  • 1 year's word processing experience.
  • Experience in using Microsoft packages to include WORD, EXCEL, and OUTLOOK.

  • 4 GCSE's Grades A-C to include

  • English Language (or equivalent
  • Qualification) plus 1 year's administrative /clerical experience.

OR

  • NVQ Level 2 in Administration (or equivalent qualification) plus 1 year's administrative /clerical experience.


OR

  • 2 year's administrative /clerical experience.
