Sales Administrator Team Lead

Overview

VANRATH are pleased to be working in partnership with a well-established organisation within the commercial vehicle sector to appoint a Sales Administrator Team Lead. This position plays a pivotal role within the aftersales function, ensuring the seamless coordination of sales orders, deliveries, and internal support across multiple teams.

Acting as a key point of contact between customers, sales, logistics, and procurement, the successful candidate will help drive operational efficiency while maintaining high standards of customer service.

Working Hours

Full-time position / 40 hours per week / Monday to Friday, 08:30 - 17:00 / A degree of flexibility will be required in line with business demands

The Role

  • Oversee the day-to-day running of the sales administration function, ensuring workflows are efficient and deadlines are consistently met
  • Act as a central liaison between internal departments to support the smooth fulfilment of customer orders
  • Review and process sales documentation, ensuring accuracy across pricing, product details, and availability
  • Work closely with distribution teams to coordinate dispatch schedules and resolve any delivery-related queries
  • Provide ongoing support to the sales function, including handling queries around quotations, stock, and lead times
  • Track order progression and communicate updates clearly to both customers and internal stakeholders
  • Take ownership of resolving any issues relating to delays, discrepancies, or stock shortages in a timely manner
  • Maintain and update internal systems to ensure all product and pricing information remains current
  • Collaborate with cross-functional teams including procurement and finance to improve overall service delivery
  • Contribute to promotional activities and assist in rolling out sales initiatives across the product range
  • Support continuous improvement by identifying gaps in processes and suggesting practical enhancements
  • Assist in expanding the product offering through market awareness and identification of new opportunities
  • Carry out additional administrative or operational duties as required

The Person

  • Experience leading or supervising a team within a fast-paced environment is advantageous
  • Strong background in sales support or customer service, ideally within a similar industry
  • Good understanding of how field-based sales teams operate and the support they require
  • Knowledge of commercial vehicle parts or experience within motor factors is essential
  • Commercially aware with the ability to interpret data and make informed decisions
  • Confident communicator with the ability to influence and build relationships across departments
  • Strong problem-solving skills with a proactive and solutions-focused mindset
  • Ability to prioritise workload effectively and remain organised under pressure
  • High attention to detail with a methodical approach to tasks
  • Comfortable working independently and taking initiative where required
  • Experience collaborating with multiple departments to achieve shared objectives
  • Competent in producing reports and analysing data to support performance improvements
  • Strong IT skills, including Microsoft Office packages such as Excel, Word, and Outlook
  • Full, valid driving licence

Desirable Criteria

  • Previous experience working with CRM systems or similar platforms would be beneficial
